How the NeuralNautics AI Intelligence System handles information, including data accessed through Google services.

Effective: October 24, 2026 Applies to the AI Intelligence System and this informational website

1. Overview

NeuralNautics is an independent AI development project. Its AI Intelligence System is currently a private, operator-directed research tool, not a publicly available application. It gathers designated AI news and research, produces summaries and opportunity analyses, and records the results in Google services.

This policy explains the system's intended and implemented data handling as reflected in its current application design. The public website does not provide account sign-in or collect Google account permissions.

2. Google information accessed

When an account owner authorizes the system using Google OAuth, the system requests permissions to access the following services:

  • Gmail: read the contents, subjects, identifiers, account association and timestamps of emails selected with the AI-Digest label; inspect sent messages; add processing labels; and send digest emails. The requested gmail.modify permission is technically broader than only these selected operations.
  • Google Drive and Docs: create, read and manage research reports and documents; process relevant document comments used to direct follow-up work. Requested Drive access is broader than a single document.
  • Google Sheets: read and update trackers, run history, source-processing records, analysis queues, and delivery status.

Current configuration is intended for specifically authorized developer-controlled accounts. Authorization is not requested through this informational website.

3. Why and how information is used

Google user data is used to select AI-related source material, produce periodic intelligence digests, identify research topics and possible opportunities, maintain processing records, prevent duplicate actions, create reports, send requested digests, and verify whether those actions actually occurred.

The system processes the designated AI-Digest messages rather than deliberately analyzing every email as a general-purpose mailbox service. Account-wide permissions may still allow broader access than the workflow ordinarily uses. Google Docs comments may be inspected for operator-defined commands or research feedback.

4. AI processing, service providers and sharing

To deliver its intelligence features, the system sends selected source email text and related metadata, such as the sending account, subject and message identifier, to OpenAI's API for analysis and digest generation. Research summaries and derived material can also be sent to the API during further analysis. This is a transfer to an external processing provider, not analysis performed solely inside Google.

The application also uses Google Cloud infrastructure for execution and secure credential storage, Google Workspace-compatible APIs for documents and delivery, and Cloudflare to host these public information pages. Their handling of information is governed by applicable provider terms and privacy commitments.

NeuralNautics does not use Google user data for targeted advertising, sell it to data brokers, or share it for unrelated marketing purposes. Use of information received from Google APIs will adhere to the Google API Services User Data Policy, including its Limited Use requirements. Use and transfer of Google data are limited to providing the features described here, necessary security/operations, or legal obligations, consistent with Google's applicable user data policies.

5. Storage, security and retention

Intelligence reports and derived research material may be stored in authorized Google Docs and Sheets. Processing logs can retain email identifiers, account identifiers, subjects, timestamps, report references and delivery records. Email remains in the authorized Gmail accounts, subject to labeling and sent-message operations. Google OAuth credentials are stored as application secrets in Google Cloud Secret Manager, not in this public website.

Data and derived artifacts may remain in the configured Google accounts until the operator deletes them or follows a deletion request. No automatic fixed deletion period is currently represented as implemented. Cloud execution and external API providers may retain limited operational records under their own policies. Access controls, HTTPS connections, and managed secret storage are used to reduce risk, but no system can guarantee absolute security.

6. Authorization, access and deletion

An authorized Google account owner can revoke application access at any time from their Google Account's third-party connections and authorization settings. Revocation stops future authorized API access but does not automatically remove reports or processing records already created in Google Docs, Sheets, or Gmail.

Because the system is currently operated for designated accounts, requests to inspect or delete existing application-generated materials are handled by the operator. Please use the contact channel in Section 8 to request a review or deletion of retained application data.

7. Visitors to this website

This public information site is made of static pages. It has no sign-up form, no Google OAuth authorization flow, and no intentionally installed advertising trackers or analytics scripts. The hosting provider, Cloudflare, may process basic connection details such as IP address and request information to deliver and protect the site.

8. Contact and policy changes

For privacy requests or questions, contact the NeuralNautics operator at realfraley@gmail.com.

If the system becomes available to additional users, introduces materially different data uses, or changes its data-processing providers, this policy will be updated as appropriate before those new uses are introduced. The effective date above will be revised when material changes are published.

Google account access is optional and owner-controlled.

Grant permissions only if you understand the access requested. The current application does not offer open registration.
